Smart Scheduling

Conversational booking that understands your real scheduling rules — resource availability, appointment types, buffers, and who can be seen when.

What it does

Most booking widgets fail on the rules. A first appointment takes longer than a follow-up. Two staff can do one procedure and one cannot. There needs to be a gap after a long job. A certain appointment type cannot be booked on a Friday afternoon.

Smart Scheduling encodes those rules and lets customers book conversationally — by chat or voice — including rescheduling and cancellation, with reminders that reduce no-shows.

Key features

Rules-aware availability

Appointment duration by type, resource and staff eligibility, buffers, blackout windows and lead-time limits.

Conversational booking

Customers describe what they need in their own words instead of picking from a list of codes.

Reschedule and cancel

Self-service changes within the rules you set, without a phone call.

Reminders

Configurable reminder sequences with confirmation, and a flag for repeat no-shows.

Waitlist handling

Optional waitlist that offers a freed slot to the next suitable customer.

Calendar write-back

Bookings written into the system your staff already use, so there is one schedule.

Example use cases

Illustrative scenarios this product is designed for, not descriptions of specific client deployments.

  • A multi-provider clinic where appointment type determines who can take it and how long it runs
  • A field services business scheduling by territory, skill and travel time
  • A salon or studio with per-service durations and equipment constraints
  • A professional firm offering consultations with different lengths by meeting type

How it is deployed and integrated

Deployed as a booking experience on your website, inside the Virtual Assistant, or behind a phone line with the AI Call Assistant.

Typical setup is three to six weeks, most of it spent capturing scheduling rules accurately. Rule capture is where these projects succeed or fail.

Requires an integration with your scheduling system of record. We confirm feasibility against your specific system during scoping.

Integration categories

Categories we can build against. Feasibility for your specific systems and versions is confirmed during scoping — these are not certified partner integrations.

Data and privacy

The assistant needs only enough information to place a booking. We keep the collected fields to a minimum and document them before launch.

For healthcare or other regulated settings, scheduling data can be sensitive. Tell us during scoping so retention, access and agreement requirements are designed in rather than added later.

Before launch, you get it in writing. What data the product can access, where it is processed, how long it is retained, who can read it, and what is logged. If any of that does not work for your policy, it is a design decision we change rather than a limitation you accept.

Questions

About Smart Scheduling

Does it work with our scheduling system?

That depends on what your system exposes through an API or supported integration. We check it in scoping and tell you plainly if it is not feasible — we do not list integrations we have not verified.

What stops double-booking?

Availability is read from your system of record at the moment of booking, and the write-back is the booking. We also test contention deliberately during implementation.

What does it cost?

Contact us for pricing. It is driven by booking volume and the complexity of your scheduling rules and integration.
